So you’ve chosen a venue for your wedding - yay! Now comes the not-so-fun but extremely necessary part - reading and understanding the wedding venue contract. Wedding venue contracts not only protect you, but also the venue and provide a clear outline on what’s expected from both parties. Here is a quick (but important!) guide for what to look for and expect from your wedding venue contract.
Let’s Start With the Basics
While this may seem extremely obvious, read the entire contract! You’d be surprised how many couples skim over the contract and think something is included in their package, only to find out it’s not actually included. Make sure there are no typos and all party/contact information is correct (including the dates, times, and duration).
Also be sure to understand what areas of the wedding venue you’ll have access to and which areas are off-limits. What are the provided amenities? Are children allowed? Pets?
Next Steps
Now that you know the overall basics of the contract, you can move on to more intricate details such as a clear floor plan and seating arrangements. Ensure you have an itemized list of the services the venue will provide - from parking to staff, linens to drink services, etc. - so there are no surprises on your wedding day.
Make sure the scope-of-work for both parties is clearly defined. For example, will the couple provide their own floral arrangements, or will the venue be responsible for the floral services? Are you using one of the wedding venues preferred vendors or your own?
The Money
Of course a huge aspect of any contract is the budget. Check and cross-check that your wedding venue contract has ALL the fees associated with your wedding day (before, during and after). What are the due dates? Are there different deposits and advances? What are acceptable payment methods? What is the refund and cancellation policy? It may sound obvious, but these are super important when it comes to making sure your wedding runs smoothly.
What if ‘XYZ’ Happens?
If we’ve learned anything from romcoms or wedding horror stories, unexpected events can happen. While no one can predict everything there are some scenarios that can be addressed in your wedding contract.
For example, if the wedding venue is outdoors, what happens if it rains? What happens if a wedding vendor backs out or doesn’t fulfill their contract? Make sure as many possibilities as possible are covered in your contract so both parties are protected.
The Big Day
Not only should your wedding contract cover everything leading up to your wedding day - you’ll also need to ensure your contract clearly states the rundown of your actual wedding day. Make sure a schedule is discussed - and put in writing - including what activities are happening when and where as well as who will be available to answer any questions.
Be sure to understand any restrictions on the day of your wedding and if you’re confused about any of them, clarify with the venue immediately. Don’t forget to account for any taxes or additional gratuities - especially for any food and drink vendors.
